How the calculator works

This calculator compares the total cost of ownership across three structures: equipment loan ($1 buyout equivalent), $1 buyout lease (finance lease), and FMV lease (true lease). Inputs include equipment price, down payment percent, term length, and credit tier. Outputs include monthly payment range, total payments, and a Section 179 tax-savings estimate.

The formula uses standard amortization: Payment = P × [r(1+r)^n] / [(1+r)^n – 1], where P is principal, r is monthly rate (APR/12), and n is the number of monthly payments. For lease structures with residual, we adjust to: Payment = (P – R/(1+r)^n) × r / (1 – (1+r)^-n) + R×r, where R is the residual value.

Assumptions

  • Rate ranges: blended across our partner lenders, refreshed monthly. Actual rates depend on lender underwriting.
  • Section 179 calculations: 2026 limit of $1.22M, phase-out at $3.05M, 60% bonus depreciation rate. Assumes 25% effective federal tax rate unless overridden. Not tax advice.
  • Amortization: standard monthly amortization (compound interest). Most equipment loans amortize this way.
  • Residuals (FMV lease): 20% typical for general equipment; varies 15-25% by category and age.

How to read this output

What the calculator does and does not capture

The calculator uses standard equipment financing math: monthly payments are computed as a fixed amortization over the term, using the rate the borrower selects against the program template. We treat the rate as nominal annual, divided by twelve for the monthly factor, and we use the standard mortgage-style amortization formula. The payment shown is principal plus interest for the financed amount; it does not include sales tax (which most jurisdictions roll into the financed amount) or insurance.

The rate ranges we show by credit tier come from our program grid. We refresh these quarterly to track the rate environment. Your actual rate depends on credit profile, time in business, revenue, equipment, transaction size, and which program tier your application fits into. Use the calculator output as a planning range, not a quote.

Where the calculator output gets refined in actual review

Several factors that the calculator does not capture can move your actual payment up or down. Understanding the inputs that the calculator simplifies helps you read the output as a baseline that we will adjust against your specific deal.

Sales and use tax. Sales tax is owed in most states and is typically rolled into the financed amount, which adds to the monthly payment. Some equipment qualifies for sales tax exemption depending on use and jurisdiction. The calculator does not pre-compute sales tax because it varies by state and by use.

Documentation fee. Lender documentation fees of $150 to $1,500 are common and are either rolled into the financed amount or paid out of pocket. Either way, they show up in the APR calculation. The calculator shows the loan-side cost; the APR you eventually see in the funding documents is the all-in cost.

Origination structure. Some lenders price origination as a separate fee, others bake it into the rate. The calculator output assumes the rate represents the all-in cost. When you receive specific offers, read whether the rate includes origination or whether it is added separately.

Pre-payment provisions. The total cost shown in the calculator assumes you carry the loan to term. If you pay off early, the total cost is the sum of payments made plus any pre-payment penalty, minus any unearned finance charge rebate. For shorter holding periods, the effective cost can differ meaningfully from the calculator total.

Factors that drive your actual rate

The calculator output uses indicative rates by credit tier. The factors below explain where your actual rate is likely to land within the tier range.

  • Business credit profile. D&B Paydex, Experian Intelliscore, and trade references from current vendors. Stronger business credit reduces personal-guarantee scope and improves the rate.
  • Documented backlog or pipeline. Signed contracts, outstanding purchase orders, or a documented work backlog support the application story. For service businesses in particular, a pipeline that justifies the new equipment closes deals faster than projections alone.
  • Time in business. The single most weighted factor for most equipment lenders. Two years in business opens up the full program menu. Under one year narrows the lender pool and often requires larger down payment.
  • Geographic operating territory. Where the equipment will operate matters. We price interstate and cross-border equipment use differently than single-state operation. The program tier shifts if the equipment will operate outside the home state regularly.
  • Financial statement quality. For transactions above $250,000, lenders weight the quality of financial statements: are they CPA-prepared, are they current within 90 days, do they reconcile to bank statements. Strong financial reporting opens up better pricing on larger transactions.

Pitfalls the calculator output cannot warn you about

The calculator handles payment math cleanly. It does not catch the patterns below, which show up in real funding documents and affect the all-in cost. Read the funding documents themselves; do not rely on a calculator output as your due-diligence step.

Title and registration delays

For titled equipment (trucks, trailers, certain motorized assets), we hold the title and you carry the registration. State DMV processing delays can leave you with a temporary permit for 30 to 90 days after funding. Plan around it for any equipment that needs to be on the road immediately after delivery.

Cross-collateral creep

Adding new equipment financing through the same lender often includes cross-collateral language that ties the new equipment to the prior loan and vice versa. Not always bad, but it limits flexibility if you need to sell or refinance one piece of equipment without paying off the other.

Personal guarantee scope

On most equipment loans under $250,000, owners with 20 percent or more equity sign personal guarantees. Read the guarantee language. Some guarantees are limited to the specific loan; others are continuing and cover any future borrowing from the same lender. Limit the guarantee to the specific transaction when possible.

Title processing timeline

For titled equipment, we hold the original title and you operate under a temporary registration until the state DMV processes the title transfer. Timelines vary from two weeks to three months by state. If the equipment needs to be on the road immediately, ask us about expedited processing or temporary trip permits at the time of funding.

Questions about the calculator output

What if the equipment cost on the invoice is higher than what we discussed?
Tell us before signing. Lenders fund up to the loan amount approved. If the invoice exceeds approval, you either bring additional cash to close the gap or request a re-approval at the higher amount.
What if my business is structured as a sole prop with no separate business credit?
You can still finance equipment, but we will primarily evaluate based on your personal credit and personal income. Sole props sometimes face higher down payment requirements and shorter terms than LLC or corporate borrowers. Forming an LLC and operating under it for a couple of years opens up more program options.
Will the lender finance equipment we are buying from a private seller?
Yes, we finance private-party transactions. The documentation looks slightly different from dealer transactions: bill of sale from the seller, lien-release if there is a prior loan, title work direct from the state. Expect 3 to 5 additional business days on the funding timeline.
Can I add equipment to an existing loan?
Not typically. New equipment is financed as a separate transaction. Some lenders offer master lease lines that allow adding equipment under one umbrella, which works best for businesses that buy equipment regularly.
Can I trade in equipment as part of the down payment?
Yes, on most loans. The trade value is treated as cash down for loan-to-cost calculations. We will want to see documentation of the trade-in and confirmation that any prior lien on the trade-in is being paid off through the transaction.

How much down payment is typical?
Standard programs run 0 to 10 percent down on new equipment for established businesses with prime credit. 5 to 20 percent down on used equipment. 15 to 30 percent on credit-challenged or startup applications. Fleet and replacement deals often qualify for zero down.
How fast can I get funded?
Standard equipment loans on app-only programs (under $150K typically) close in 24 to 72 hours from doc submission. Full-financials programs run 3 to 7 business days. Titled equipment with title transfer adds 1 to 4 weeks.
Does a soft-pull pre-qualification affect my credit score?
No. A soft pull does not affect your credit score. The hard pull happens at final financing review if you accept the offer. That is the only inquiry that posts to bureaus.
Is equipment financing tax deductible?
The interest portion of equipment loan payments is deductible as a business expense. The equipment itself qualifies for depreciation or Section 179 immediate expensing if eligible. Lease payments on true operating leases deduct fully as business expense. Capital lease structures (EFA $1 buyout) get depreciation treatment.
Does the equipment loan get reported to credit bureaus?
Most equipment loans report to business credit bureaus (D&B, Equifax Business, Experian Business). Personal guarantees may or may not report to personal credit bureaus depending on lender practice; this is an important question to ask if maintaining personal credit utilization is important.
How does Section 179 work?
Section 179 lets you deduct up to $1.16 million (2024 limit, indexed annually) of qualifying equipment in the year placed in service, rather than depreciating over 5 to 7 years. Equipment must be placed in service before December 31 of the tax year, used more than 50 percent for business, and financed through a qualifying structure (loan or EFA, not operating lease).

How we structure financing

The financing structure that fits depends on the actual situation. Below are the most common decision branches we walk through with buyers, in plain "if X, then Y" form.

If You plan to keep the equipment past the financing term
Then Use a loan or $1 buyout EFA structure. Operating lease and FMV lease structures cost more on a keep-past-term basis because of the residual buyout.
If Your equipment will be operated by a hired driver or operator
Then Document the operator certification status in advance. Some lenders require proof of OSHA training, CDL, or industry-specific certification before funding on certain equipment categories.
If You operate seasonally with revenue concentrated in specific months
Then Ask for seasonal payment structures (skip payments in off-months, or ramped payments aligned to revenue). Many ag and landscape programs offer these at standard rates.
If You expect to pay the loan off within 12 months
Then Check the pre-payment penalty before signing. Standard structures penalize early payoff in year one. Open pre-payment loans cost slightly more in stated rate but eliminate the penalty.
If You are a startup with strong principal credit and industry experience
Then Apply to startup-specific programs that recognize principal credit and experience as substitutes for entity history. Expect higher down payment but a real path to approval.

What if something changes mid-term

Equipment loans run for 36 to 96 months. Things change. The patterns below cover the situations that come up most often during the loan term and how they typically resolve.

Lender becomes difficult to work with

Most equipment loans are assumable or assignable with lender consent. Refinancing to a different lender is the more common path. Document the issues clearly; the situation rarely improves and the alternatives exist.

Equipment serial number does not match UCC filing

Identify the error (dealer substitution, lender filing error, etc.) and resolve before subsequent financing. The UCC needs to match the actual collateral for enforceability. Lender amendment of the UCC handles this in most cases.

Equipment lease ending with no clear plan

Lease structures require purchase, return, or renewal at end of term, typically with 60-90 day notice. Missing the notice deadline can trigger automatic renewal or fair-market-value buyout. Decide and communicate before the deadline.

Equipment lien still showing after loan payoff

Lender is required to terminate the UCC-1 within a defined window after payoff (varies by state). If termination has not occurred, request a UCC termination statement from the lender. Borrower can sometimes file UCC termination directly if lender is unresponsive.
