A business that has been through a workout, settlement, or bankruptcy in the last 24 to 60 months. Programs exist with the right lender, usually at higher rate, with larger down payment, and tied to a personal guarantee from a principal with current clean credit.

The grant-leveraged buyer

A business with a grant award, set-aside, or rebate that covers part of the equipment cost. The lender funds the remainder. The grant documentation goes into the file at application; timing of the grant disbursement versus loan funding is the detail that determines structure.

The replacement buyer

An established business swapping out a unit that has aged past its useful life. The story for lenders is the cleanest: a known revenue stream, a known asset, and a documented reason for the spend. These applications close fastest and at the best rates.

The growing operator

A two-year-old business with two existing units and a third on order to chase the next contract. We see this profile most often in trades, fleet, and field services. Lenders weigh the equipment as collateral, then look at revenue trajectory and time in business. Most growing operators qualify for standard programs at fair-to-good credit.

What lenders weigh on hvac applications

The lender review on hvac deals follows a fairly consistent set of weights across our partner network. The factors below carry the most influence on whether the deal funds and at what rate.

  • Financial statement quality. For transactions above $250,000, lenders weight the quality of financial statements: are they CPA-prepared, are they current within 90 days, do they reconcile to bank statements. Strong financial reporting opens up better pricing on larger transactions.
  • Personal credit of principals. For owners with 20 percent or more equity, personal FICO drives both the available program and the rate. The pull is soft at prequalification, hard at formal application with the chosen lender.
  • Owner background and depth. Years of related industry experience, prior ownership of similar equipment, and any documented success operating the asset class affect underwriting. New entrants to a class price differently from established operators expanding within their lane.
  • Bank statement analysis. Three to twelve months of business bank statements. Lenders look at average daily balance, monthly deposit count, NSF activity, and overall cash flow stability. This is where seasonal businesses get fairly priced if they have the records.
  • Geographic operating territory. Where the equipment will operate matters. Some lenders prefer single-state operation; others price interstate or cross-border use differently. The lender match changes if the equipment will operate outside the home state regularly.

How hvac equipment is taxed

The tax treatment of a hvac purchase often drives the structure decision (loan, $1 buyout, FMV lease) more than rate or term. The provisions below cover the main areas; the actual application to your situation should run through your tax adviser.

State conformity

States vary on whether they conform to federal Section 179 limits and bonus depreciation. A few states still cap Section 179 well below the federal amount or disallow bonus depreciation entirely. Your effective tax savings depend on both federal and state treatment.

Sales and use tax

Sales tax on the equipment is owed in most states. On a loan, sales tax is typically rolled into the financed amount. On a lease, sales tax is collected on each payment in many states. Equipment delivered out of state has different rules and exemptions in many jurisdictions.

Bonus depreciation interaction

Bonus depreciation under IRC Section 168(k) applies to qualifying property and runs alongside Section 179. The two interact: Section 179 is taken first and is subject to taxable income limits, then bonus depreciation applies to the remainder. Most equipment buyers use both.

The questions buyers ask before applying

Will the lender finance equipment we are buying from a private seller?
Yes, most of our partner lenders finance private-party transactions. The documentation looks slightly different from dealer transactions: bill of sale from the seller, lien-release if there is a prior loan, title work direct from the state. Expect 3 to 5 additional business days on the funding timeline.
What if the equipment cost on the invoice is higher than what we discussed?
Tell us before signing. Lenders fund up to the loan amount approved. If the invoice exceeds approval, you either bring additional cash to close the gap or request a re-underwrite at the higher amount.
Can I see all the offers, or only the one you recommend?

Do I need to disclose other business debt to the lender?
Yes. Lenders calculate debt service coverage on total obligations. Not disclosing material debt can be treated as misrepresentation in the application. Existing business debt is normal and the application accommodates it.
Are there programs for equipment under $25,000?
Yes. Most partner lenders maintain micro-ticket programs from $5,000 to $25,000 with abbreviated documentation, faster decisioning, and slightly higher rates than mid-range deals. The trade-off is speed for pricing; for time-sensitive small purchases, the micro-ticket route closes in a day or two.

Then Use a title services provider or escrow for the title transfer. The lender will not fund until title is clear; an escrow arrangement protects both buyer and seller during the title transfer window.
If You are taking a Section 179 election this tax year
Then Use a loan or $1 buyout EFA. Operating lease structures do not qualify for §179 election. Confirm equipment placed in service before December 31.
If You plan to keep the equipment past the financing term
Then Use a loan or $1 buyout EFA structure. Operating lease and FMV lease structures cost more on a keep-past-term basis because of the residual buyout.
If You operate seasonally with revenue concentrated in specific months
Then Ask for seasonal payment structures (skip payments in off-months, or ramped payments aligned to revenue). Many ag and landscape programs offer these at standard rates.
If You plan to bundle attachments with the base equipment
Then Get them all on a single bill of sale and single paper. Bundled financing typically costs 50 to 100 basis points less than financing the base unit and adding attachments separately.

Cost stack: what total ownership actually includes

The equipment purchase price is one line on the financed amount. The actual cost of ownership over the life of a hvac deal includes the items below. Buyers who only budget for the purchase price often hit cash-flow surprise within the first 12 months.

  • Storage and security infrastructure. Indoor storage, security systems, and theft-prevention measures. Particularly important for landscape, construction, and small equipment frequently stored outdoors and at job sites.
  • Title transfer and registration. Titled equipment (trucks, trailers, some construction equipment) requires title transfer and registration. State-specific fees from $50 to $500+.
  • Documentation and dealer fees. Lender doc fee runs $150 to $1,500. Dealer doc fee varies. Both may roll into financed amount or pay at signing.
  • End-of-term residual or buyout. Lease structures: fair market value buyout at term end (FMV lease) or stated residual amount (TRAC lease). Loan/EFA structures: $1 buyout or no buyout. Plan for this from day one on lease structures.
  • Delivery and freight. Equipment delivery from dealer to operating site. Runs 1 to 5 percent of equipment price on standard equipment, higher on heavy or oversized equipment requiring permits and escorts.
  • Sales or use tax. State and local sales tax on the equipment. Rolls into financed amount in most states. Manufacturing and qualifying exemptions reduce or eliminate this in many states.
  • Insurance premiums. Commercial equipment insurance with lender named as loss payee. Annual premiums run 1 to 5 percent of equipment value depending on coverage and equipment category.
  • Tooling and accessories. Cutting tools, attachments, fixtures, and accessories specific to the equipment. Often quoted separately from base equipment. Can run 10 to 40 percent of equipment cost.
