The lender view

From the underwriter side of the table, this topic touches four primary factors. Each carries weight in how the deal prices and how quickly it closes.

  • Use of equipment. Will the asset generate revenue immediately, will it replace an existing producing asset, or is it additive capacity. Revenue-replacement deals close most easily.
  • Geographic operating territory. Where the equipment will operate matters. Some lenders prefer single-state operation; others price interstate or cross-border use differently. The lender match changes if the equipment will operate outside the home state regularly.
  • Owner background and depth. Years of related industry experience, prior ownership of similar equipment, and any documented success operating the asset class affect underwriting. New entrants to a class price differently from established operators expanding within their lane.
  • Bank statement analysis. Three to twelve months of business bank statements. Lenders look at average daily balance, monthly deposit count, NSF activity, and overall cash flow stability. This is where seasonal businesses get fairly priced if they have the records.

Where this goes sideways for borrowers

Every issue below is preventable. The patterns recur not because of bad faith but because borrowers sign documents they have not fully read. The cost of catching these at the application stage is zero.

Acceptance-letter timing

The lender funds against your signed acceptance of the equipment. If the equipment arrives missing items, damaged, or not matching the bill of sale, do not sign the acceptance until the seller addresses the issue. Once acceptance is signed, the seller is funded and your leverage to resolve is dramatically reduced.

Co-borrower vs guarantor distinction

Some lenders require a co-borrower on the loan rather than a guarantor. The legal and tax implications differ materially. A co-borrower has direct payment obligation; a guarantor only steps in if the primary defaults. Make sure your funding documents reflect the role you intended to play, especially if multiple owners are involved.

Padded equipment invoice

Some dealers will list installation, delivery, or extended warranty as separate line items on the invoice and finance them into the loan. That is fine if you know it is happening and want those items rolled in. It becomes a problem when the borrower thinks they are financing the equipment at $100,000 and the actual loan principal is $112,500 because of soft-cost items added to the invoice.

ACH authorization scope

The funding documents authorize the lender to ACH debit your account for monthly payments. Some authorizations are limited to the regular monthly payment; others give the lender authority to debit late fees, NSF fees, or other charges. Read the ACH authorization clause and limit it where you can.

The pre-funding walk

Walking the checklist below before signing the bill of sale is the discipline that prevents post-funding surprises. Each item is a place where seller representation has historically diverged from delivered reality.

  • Manufacturer warranty status. On used equipment, confirm what is left of the original manufacturer warranty. Some warranties transfer with title and continue; others are tied to the original owner. The remaining warranty has dollar value and should factor into the purchase price.
  • Inspection by independent third party. For used equipment over $50,000, an independent mechanical inspection runs $300 to $800 and surfaces issues a walk-around will not catch. Lenders often require this for used equipment above a threshold.
  • Title or MSO clean. Title for titled equipment, manufacturer statement of origin (MSO) for new equipment that has not been titled yet. Check for prior liens, salvage history, and that the seller is the title holder.
  • Emissions compliance. For diesel-powered equipment, confirm the unit meets current emissions requirements for the state and operation it will be used in. Tier 4 final compliance, urea/DEF system status, and after-treatment health all affect both legality of use and resale value.
  • Hydraulics and ancillary systems. Full range of motion on every hydraulic function, no leaks, smooth operation, no chatter or pump whine. Hydraulic repairs on heavy equipment run into five figures fast.

Frequently asked questions

What happens if the equipment needs warranty repair during the loan term?
The loan and the warranty are independent. You continue making loan payments while the equipment is in warranty repair. Service contracts and extended warranties can be financed into the loan if you choose, with the cost rolled into the principal.
Can I trade in equipment as part of the down payment?
Yes, on most loans. The trade value is treated as cash down for loan-to-cost calculations. The lender will want to see documentation of the trade-in and confirmation that any prior lien on the trade-in is being paid off through the transaction.
Does the dealer get the loan funds, or do I?
Funds go to the seller directly in nearly all equipment financing. The lender wires the agreed amount to the seller after you sign the acceptance documents. You never see or handle the loan funds. This protects both the lender and you from misapplication of proceeds.
Are the rates fixed for the loan term?
Most equipment loans and leases are fixed rate for the full term. Variable-rate equipment financing exists for certain larger transactions but is uncommon under $500,000.

What is the typical APR on equipment financing?
Standard prime credit equipment financing runs 7 to 11 percent APR depending on equipment type, term length, and lender. Mid-tier credit runs 9 to 13 percent. Specialty programs for credit-challenged or startup borrowers run 12 to 18 percent. Manufacturer captive promotional financing can run 0 to 6 percent.
What is a TRAC lease?
A Terminal Rental Adjustment Clause (TRAC) lease is a structure used primarily on titled vehicles (trucks, trailers, certain heavy equipment) where the lessee bears the residual risk at end of term. Common on commercial vehicles because it offers operating-lease tax treatment with the buyer keeping equipment-purchase economics.
What is a balloon payment?
A balloon payment is a large final payment at the end of a loan term that is not fully amortized through monthly payments. Common on shorter terms with longer-life equipment. Borrowers either refinance the balloon at end of term, pay it cash, or include it in budgeting from day one. Most equipment loans amortize fully without balloons.
