  • Financial statement quality. For transactions above $250,000, lenders weight the quality of financial statements: are they CPA-prepared, are they current within 90 days, do they reconcile to bank statements. Strong financial reporting opens up better pricing on larger transactions.
  • Documented backlog or pipeline. Signed contracts, outstanding purchase orders, or a documented work backlog support the application story. For service businesses in particular, a pipeline that justifies the new equipment closes deals faster than projections alone.
  • Bank statement analysis. Three to twelve months of business bank statements. Lenders look at average daily balance, monthly deposit count, NSF activity, and overall cash flow stability. This is where seasonal businesses get fairly priced if they have the records.
  • Use of equipment. Will the asset generate revenue immediately, will it replace an existing producing asset, or is it additive capacity. Revenue-replacement deals close most easily.

Where this goes sideways for borrowers

Every issue below is preventable. The patterns recur not because of bad faith but because borrowers sign documents they have not fully read. The cost of catching these at the application stage is zero.

Acceptance-letter timing

The lender funds against your signed acceptance of the equipment. If the equipment arrives missing items, damaged, or not matching the bill of sale, do not sign the acceptance until the seller addresses the issue. Once acceptance is signed, the seller is funded and your leverage to resolve is dramatically reduced.

Fleet vs single-unit pricing

When financing more than one unit, ask whether the lender treats it as a fleet transaction (often with better pricing) versus separate single-unit transactions. The difference can be 50 to 150 basis points on a multi-unit deal. Some lenders default to single-unit treatment unless the borrower asks for fleet structure.

Late payment cascading fees

A 10-day late payment on an equipment loan typically triggers a late fee of 5 to 10 percent of the payment amount. Some contracts also trigger default interest, which jumps the rate by 4 to 6 points until the account cures. The dollar impact of a single missed payment can run into the hundreds.

Insurance lapse triggers

Lenders require physical damage insurance on the financed equipment for the life of the loan, with the lender named as loss payee. If your policy lapses, the lender places force-placed insurance at three to five times the cost of an open-market policy and bills you for it. Keep proof of insurance current with the lender.

Pre-signing due diligence

The pre-signing window is when negotiation room exists. After signing, the buyer owns the discrepancy between what was discussed and what is documented. The items below cover the highest-leverage checks.

  • Manufacturer warranty status. On used equipment, confirm what is left of the original manufacturer warranty. Some warranties transfer with title and continue; others are tied to the original owner. The remaining warranty has dollar value and should factor into the purchase price.
  • Attachment compatibility. For machinery with attachments, confirm the attachments included are compatible with the base unit configuration (quick-coupler standards, hydraulic pressure ratings, mounting interfaces). Buying attachments that do not fit is a common surprise on used equipment with mixed-vintage components.
  • Operator manuals and documentation. Get the operator manual, service manual, and any parts catalog at the time of purchase. Replacements are sometimes available from the manufacturer but slow and expensive. Documentation is part of the asset value.
  • Inspection by independent third party. For used equipment over $50,000, an independent mechanical inspection runs $300 to $800 and surfaces issues a walk-around will not catch. Lenders often require this for used equipment above a threshold.
  • Delivery and acceptance terms. Who pays for delivery, what condition the unit must be in at delivery, and what the buyer accepts. The funding documents will reference the delivery and acceptance certificate, which the lender uses to release payment to the seller.

Frequently asked questions

Can a startup with no revenue history finance equipment?
Limited paths, but they exist. Startup programs typically require larger down payment (15 to 30 percent), personal guarantee, and sometimes proof of contract, signed lease, or other evidence the equipment will produce revenue. Personal credit and personal financial strength carry more weight than they would for an established borrower.
Are there programs for equipment under $25,000?
Yes. Most partner lenders maintain micro-ticket programs from $5,000 to $25,000 with abbreviated documentation, faster decisioning, and slightly higher rates than mid-range deals. The trade-off is speed for pricing; for time-sensitive small purchases, the micro-ticket route closes in a day or two.
How does the lender verify the equipment exists and was delivered?
Standard verification: signed delivery and acceptance certificate from you, plus inspection of the equipment or photo verification depending on transaction size. For larger transactions, the lender may send an inspector. For smaller transactions, a signed certificate plus the seller invoice is often enough.
Will the lender finance equipment we are buying from a private seller?
Yes, most of our partner lenders finance private-party transactions. The documentation looks slightly different from dealer transactions: bill of sale from the seller, lien-release if there is a prior loan, title work direct from the state. Expect 3 to 5 additional business days on the funding timeline.
Do I have to insure the equipment for the full loan amount?
Yes. Physical damage coverage at the financed amount is standard, plus liability if applicable to the equipment class. The lender is named as loss payee for the life of the loan. Verify the coverage language meets the lender requirements before funding.
What happens if the equipment needs warranty repair during the loan term?
The loan and the warranty are independent. You continue making loan payments while the equipment is in warranty repair. Service contracts and extended warranties can be financed into the loan if you choose, with the cost rolled into the principal.

Can equipment financing affect my ability to get other loans?
Yes, in two ways: the UCC filing is a public record affecting subsequent lender review, and the monthly payment becomes a fixed obligation affecting debt service coverage ratios. Blanket UCC liens (rather than specific equipment UCC) can specifically limit subsequent financing capacity.
Can I finance equipment with a 600 FICO?
Yes. Programs exist for credit profiles below prime, typically requiring 10 to 25 percent down, a personal guarantee, and sometimes a contract or invoice supporting the use. Rates run 4 to 8 points above prime, and term length often caps at 48 months instead of 60 or 72.
What is the difference between a captive lender and a bank?
Captive lenders are manufacturer finance arms (CAT Financial, John Deere Financial, etc.) that finance their own equipment. They often offer promotional rates and longer terms. Banks finance any equipment but typically at standard market rates with more conservative underwriting and longer approval cycles.
EFA vs loan, which is better?
They function identically for tax and ownership purposes. EFA documentation is slightly simpler and faster to close on app-only programs. Loan documentation is more traditional. The rate and structure are typically equivalent. EFA is more common in modern equipment finance, loan structure is more common in bank-originated deals.

Cost stack: what total ownership actually includes

The equipment purchase price is one line on the financed amount. The actual cost of ownership over the life of a general contractor deal includes the items below. Buyers who only budget for the purchase price often hit cash-flow surprise within the first 12 months.

  • UCC-1 filing fees. $5 to $84 depending on state. Paid at filing; some lenders absorb, some pass to borrower.
  • Insurance premiums. Commercial equipment insurance with lender named as loss payee. Annual premiums run 1 to 5 percent of equipment value depending on coverage and equipment category.
  • Equipment purchase price. Base equipment price as quoted by the dealer. Negotiable, especially on used equipment and end-of-quarter new equipment.
  • Operating consumables. Recurring costs not included in the equipment purchase: fuel, fluids, filters, tools, parts. Equipment-specific.
  • Title transfer and registration. Titled equipment (trucks, trailers, some construction equipment) requires title transfer and registration. State-specific fees from $50 to $500+.
  • Storage and security infrastructure. Indoor storage, security systems, and theft-prevention measures. Particularly important for landscape, construction, and small equipment frequently stored outdoors and at job sites.
  • Documentation and dealer fees. Lender doc fee runs $150 to $1,500. Dealer doc fee varies. Both may roll into financed amount or pay at signing.

What if something changes mid-term

Equipment loans run for 36 to 96 months. Things change. The patterns below cover the situations that come up most often during the loan term and how they typically resolve.

Borrower discovers equipment was misrepresented at sale

The lender funded based on the bill of sale, not the equipment condition. Disputes between buyer and seller after funding are between those parties. The loan obligation continues regardless. Independent pre-purchase inspection prevents most of these situations.

Business ownership change during loan term

Most equipment loans are personally guaranteed and assumable with lender consent during ownership change. The new owner submits an application similar to the original; the lender reviews and either consents or requires payoff.

Equipment lien still showing after loan payoff

Lender is required to terminate the UCC-1 within a defined window after payoff (varies by state). If termination has not occurred, request a UCC termination statement from the lender. Borrower can sometimes file UCC termination directly if lender is unresponsive.

Equipment serial number does not match UCC filing

Identify the error (dealer substitution, lender filing error, etc.) and resolve before subsequent financing. The UCC needs to match the actual collateral for enforceability. Lender amendment of the UCC handles this in most cases.
