State conformity rules vary, and a few states offer manufacturing or production exemptions that change the math. Confirm the tax line with the seller before signing rather than discovering it at funding.
Extended warranty, service contract, and consumables.
Service and software-maintenance contracts on this class of equipment commonly run 8 to 18 percent of base price annually. Bundling the first year into the loan is standard. Bundling multiple years into the loan converts a recurring expense into a financed asset, with the same trade-off as financing any other soft cost.

A business with revenue that concentrates in certain months. Lenders price this risk by either requesting larger down payments, asking for proof of working capital reserves, or structuring seasonal payment skips that match the revenue pattern.
The expansion buyer
A business in growth mode, opening a second location or a second line, with revenue from the existing operation supporting the new debt. Lenders weigh the existing operation strength against the unproven contribution from the new unit; deals usually close on the strength of the existing book.
Inside the underwriter view of a dental lasers deal
If you want to understand why two dental lasers deals at identical price land at different rates, the answer is in the five borrower factors below. Lender pricing on the equipment side is reasonably standardized. Lender pricing on the borrower side has real spread.
- Personal credit of principals. For owners with 20 percent or more equity, personal FICO drives both the available program and the rate. The pull is soft at prequalification, hard at formal application with the chosen lender.
- Geographic operating territory. Where the equipment will operate matters. Some lenders prefer single-state operation; others price interstate or cross-border use differently. The lender match changes if the equipment will operate outside the home state regularly.
- Documented backlog or pipeline. Signed contracts, outstanding purchase orders, or a documented work backlog support the application story. For service businesses in particular, a pipeline that justifies the new equipment closes deals faster than projections alone.
- Equipment as collateral. The equipment itself secures the loan. Asset class, age, condition, configuration, and resale market depth all factor into how lenders advance against the cost.
- Time in business. The single most weighted factor for most equipment lenders. Two years in business opens up the full program menu. Under one year narrows the lender pool and often requires larger down payment.
Diligence on dental lasers: the items that matter

- Operator manuals and documentation. Get the operator manual, service manual, and any parts catalog at the time of purchase. Replacements are sometimes available from the manufacturer but slow and expensive. Documentation is part of the asset value.
- Pre-funding photo set. Take a comprehensive photo set of the equipment at the time of purchase signing: serial number, hour meter, condition of major systems, attachments, and any documented damage. This photo set goes into your records and into the lender file if requested.
- Delivery and acceptance terms. Who pays for delivery, what condition the unit must be in at delivery, and what the buyer accepts. The funding documents will reference the delivery and acceptance certificate, which the lender uses to release payment to the seller.
Common pitfalls on dental lasers financing
The pitfalls below come from real loan files where a buyer signed paper they did not fully understand. None of these are dealer or lender fraud. They are gaps between what was assumed and what was documented. Catching them at the application stage costs nothing; catching them after funding costs real money.
EFA versus loan documentation differences
An Equipment Finance Agreement looks like a lease to a casual reader but behaves like a loan. Buyers who do not understand the structure sometimes try to apply lease-specific tax treatment to an EFA, or vice versa. Read the structure on the front page of the funding documents and confirm with your CPA before electing tax treatment.
Title processing timeline
For titled equipment, the lender holds the original title and you operate under a temporary registration until the state DMV processes the title transfer. Timelines vary from two weeks to three months by state. If the equipment needs to be on the road immediately, ask the lender about expedited processing or temporary trip permits at the time of funding.
Acceptance-letter timing
The lender funds against your signed acceptance of the equipment. If the equipment arrives missing items, damaged, or not matching the bill of sale, do not sign the acceptance until the seller addresses the issue. Once acceptance is signed, the seller is funded and your leverage to resolve is dramatically reduced.
Co-borrower vs guarantor distinction
Some lenders require a co-borrower on the loan rather than a guarantor. The legal and tax implications differ materially. A co-borrower has direct payment obligation; a guarantor only steps in if the primary defaults. Make sure your funding documents reflect the role you intended to play, especially if multiple owners are involved.
How we route the decision
The financing structure that fits depends on the actual situation. Below are the most common decision branches we walk through with buyers, in plain "if X, then Y" form.
- If You have access to manufacturer captive promotional financing
- Then Compare carefully against bank/independent lender rates. Captive promotions sometimes look better on stated rate but include adjustments (lower discount, required service bundles) that change the net economics.
- If You are buying used equipment over 7 years old
- Then Plan for shorter financing terms (36 to 48 months instead of 60 to 72) and higher rates. Authorized refurbished equipment from OEM-direct programs sometimes qualifies for new-equivalent terms.
- If You plan to bundle attachments with the base equipment
- Then Get them all on a single bill of sale and single paper. Bundled financing typically costs 50 to 100 basis points less than financing the base unit and adding attachments separately.
- If Your credit is below 640 and TIB is under 24 months
- Then Plan for 15 to 25 percent down, full personal guarantee, and a specialty program. Rates run 4 to 8 points above prime. Approval is still real but the structure is meaningfully different from prime programs.
- If You have existing equipment loans in good standing with this lender
- Then Your application qualifies for relationship pricing. App-only programs often skip financials when you have a clean history with the lender.
Timeline expectations
What actually happens day-by-day, from application to equipment in service. Most buyers underestimate one or two of these steps; knowing them up front prevents surprises.
Document signing to funding
1 to 3 business days
Lender operations team processes signed docs, files UCC, and funds the seller. Wire transfers funded same-day if processed before cutoff.
Insurance binder issuance
Same-day to 24 hours
Commercial auto and equipment insurance binders typically issue same-day from existing carriers. New policies for new businesses can run 2-5 business days to bind.
Lease end-of-term decision deadline
60 to 90 days before term end
Most lease structures require notice of intent (purchase, return, or renew) 60-90 days before term end. Missing the deadline can trigger automatic renewal or other default consequences.
UCC-1 filing and search
Filing: same-day. Search: 1-2 business days
UCC-1 financing statement files electronically same-day in most states. Pre-funding UCC search to confirm no existing liens runs 1-2 business days.
Wire transfer cutoff times
Typically 2-3pm PT / 5-6pm ET
After cutoff, wire processes next business day. Late-Friday signings often delay funding until Monday or Tuesday.
Apportioned plate registration (trucking)
2 to 4 weeks
New-authority trucking operators need apportioned plates before crossing state lines. Plan this into the funding timeline; temporary trip permits bridge the gap at higher per-state cost.
Cost stack: what total ownership actually includes
The equipment purchase price is one line on the financed amount. The actual cost of ownership over the life of a dental lasers deal includes the items below. Buyers who only budget for the purchase price often hit cash-flow surprise within the first 12 months.
- Software licenses. CAM, design, control, and operational software. Often subscription-based with annual renewal. Can run $5,000 to $50,000+ per seat depending on equipment category.
- Storage and security infrastructure. Indoor storage, security systems, and theft-prevention measures. Particularly important for landscape, construction, and small equipment frequently stored outdoors and at job sites.

- Delivery and freight. Equipment delivery from dealer to operating site. Runs 1 to 5 percent of equipment price on standard equipment, higher on heavy or oversized equipment requiring permits and escorts.
- Title transfer and registration. Titled equipment (trucks, trailers, some construction equipment) requires title transfer and registration. State-specific fees from $50 to $500+.
- Installation and commissioning. Site preparation, electrical, plumbing, leveling, calibration, and operational commissioning. Runs 5 to 25 percent of equipment price depending on equipment category.
